Privacy notice

1. Who we are

Fix Pro is a home repair and installation business in Cape Town, South Africa. We are the responsible party for the personal information described here.

The owner of Fix Pro is our Information Officer. You can reach them at info@fixprocpt.co.za or on 072 449 8433.

2. What we collect

We only ask for what we need to quote, arrange and carry out your job:

• Your name, email address, phone and WhatsApp number
• The address where the work is to be done, and how to get access to it
• A description of the job, and any photographs you send us of the problem or the property
• Records of the quotes we send, the work we do and the payments we receive
• Messages you send us by WhatsApp, email or through the website
• How you use this website, through cookies, as described under Website analytics below

3. Why we use it

We use your information to:

• Reply to your enquiry and send you a quote
• Arrange and carry out the work, including sending the right person to your property
• Follow up on a quote you have asked for
• After the job, ask whether you would leave us a review on Google. This is a single request with one reminder, and you can ignore it
• Keep the financial records the law requires
• Understand which pages and adverts lead to enquiries, so we can improve the website

4. Our reasons for processing it

Under section 11 of POPIA we process your information because it is needed to give you a quote and carry out work you asked for, because the law requires us to keep certain records, because it is in our legitimate interest to run and improve the business, or because you have given consent. Where we rely on consent, you can withdraw it at any time.

5. Who we share it with

We do not sell your information. We share it only with those who help us do your job or run the business:

• The member of our team, or the vetted contractor, who carries out the work. They receive only what they need to do it, such as your name, number, address and the job description
• Zoho, which provides the customer records system we keep enquiries and jobs in. Optional quote-form photos are compressed in your browser and attached directly to your enquiry in Zoho
• WhatsApp (Meta), when you message us there
• Google, which provides the analytics and advertising measurement described below, and the company that hosts this website
• Our accountant and the authorities, where the law requires it

6. Information sent outside South Africa

Some of the services above store information on servers outside South Africa. Under section 72 of POPIA we only use providers that are bound by data protection laws or agreements that give your information a level of protection similar to POPIA.

7. Website analytics

This website uses Google Analytics and Google Ads measurement to count visits and see which pages, buttons and adverts lead to enquiries. They use cookies and collect information such as the pages you visit, the device and browser you use and your approximate location. They do not give us your name. These tools load only if you accept optional cookies. Use Cookie settings to change your choice at any time; the quote form works without optional cookies. You can also block or delete cookies in your browser settings.

8. How long we keep it

We keep enquiry and job records for as long as we need them to deal with the work and any questions afterwards. Financial records are kept for five years, as South African tax law requires. After that, we delete or anonymise them.

9. How we protect it

Access to your information is limited to the people who need it to deal with your job. We use the security provided by our service providers, and we would tell you and the Information Regulator if your information were compromised, as POPIA requires.

10. Other people’s information

If you give us the details of someone else, such as a tenant who will let us in, please make sure they are happy for you to share them with us for the job.

11. Marketing

We do not send marketing messages unless you ask us to. Messages about your own enquiry, quote or job, including the review request afterwards, are not marketing. You can ask us to stop any of them at any time.

12. Your rights

Under POPIA you have the right to:

• Ask whether we hold information about you, and for a copy of it
• Ask us to correct or delete it
• Object to us processing it, and withdraw consent you have given
• Complain to the Information Regulator of South Africa, at inforegulator.org.za
